Dropfoods now supports VAT e-invoices across its smart vending system, allowing customers to request an invoice for any order on the network. After completing a purchase, users can scan the QR code, submit valid invoice information, and receive the e-invoice by email within 02 hours after Dropfoods receives all required details.

1. Why E-invoices matter in smart vending
Smart vending is not only about fast self-service purchasing. It also needs to support proper post-purchase documentation.
At offices, schools, hospitals, residential buildings and retail venues, customers expect convenience at the machine, but some purchases also require VAT invoices for reimbursement, expense recording or company documentation.
The E-invoice feature makes Dropfoods vending more complete: users can purchase independently, receive the product immediately, then submit invoice details from their phone without waiting for onsite staff.
Insight: Self-service with proper documentation
The value of smart vending is in the closed operating flow. Customers can buy, pay, receive products and request invoices from their phone, making automated retail more suitable for professional venues with high traffic.
2. How customers receive VAT invoices from Dropfoods machines
The request is submitted after the order is completed.
| Step | Action | Result |
|---|---|---|
| Step 1 | Complete the order at a Dropfoods machine and receive the product. | The order is recorded in the Dropfoods system. |
| Step 2 | Scan the invoice QR code shown on or near the machine. | The phone opens the invoice information form. |
| Step 3 | Submit complete VAT invoice details and the recipient email address. | The system receives the request and validates the information. |
| Step 4 | Dropfoods automatically issues the e-invoice. | The invoice is sent by email within 02 hours after all valid information is received. |
3. Information customers should prepare
The Dropfoods invoice request form includes the following fields — customers should review the details carefully before submitting so the invoice is issued correctly and delivered to the right recipient:
- Company or customer name — the entity or individual receiving the invoice.
- Tax code — required for invoices issued to businesses.
- Address — the address shown on the invoice.
- Invoice email — the e-invoice will be delivered to this address.
- Buyer name — the person who made the purchase, if it needs to appear on the invoice.
- Citizen ID — used for invoices issued to individuals, where needed.
- Phone number — so Dropfoods can reach the customer if verification is needed.
- Bank name and account number — if payment details need to appear on the invoice.
If details are missing or invalid, processing may take longer because Dropfoods needs to verify the request before invoice issuance. The 02-hour window starts when all required and valid information has been received.
4. Benefits for venues and businesses
E-invoices make smart vending more suitable for offices, hospitals, schools and buildings where documentation matters.
- More transparency: Customers have a clear channel to request invoices after each transaction.
- Less reliance on onsite staff: Invoice requests do not require a person stationed near the machine.
- Better fit for business users: Employees, visitors and corporate buyers can receive VAT invoices by email.
- Higher trust in automated retail: The machine supports not only purchasing convenience but also post-sale documentation.
Operational note
E-invoice is part of Dropfoods' broader smart vending ecosystem, alongside QR payment, mobile purchase flow, order management, refill operations and remote device monitoring.
5. A more complete vending experience
With E-invoice, Dropfoods continues to improve smart vending for both end users and venue partners. Customers can self-serve from product selection to invoice request, while venues gain a more professional amenity for their tenants, visitors and staff.
This is especially relevant for buildings, schools, hospitals, offices and residential communities where automated convenience needs to work with clear operating and documentation processes.
