1. Why E-invoices matter in smart vending

Smart vending is not only about fast self-service purchasing. It also needs to support proper post-purchase documentation.

At offices, schools, hospitals, residential buildings and retail venues, customers expect convenience at the machine, but some purchases also require VAT invoices for reimbursement, expense recording or company documentation.

The E-invoice feature makes Dropfoods vending more complete: users can purchase independently, receive the product immediately, then submit invoice details from their phone without waiting for onsite staff.

2. How customers receive VAT invoices from Dropfoods machines

The request is submitted after the order is completed.

Step Action Result
Step 1 Complete the order at a Dropfoods machine and receive the product. The order is recorded in the Dropfoods system.
Step 2 Scan the invoice QR code shown on or near the machine. The phone opens the invoice information form.
Step 3 Submit complete VAT invoice details and the recipient email address. The system receives the request and validates the information.
Step 4 Dropfoods automatically issues the e-invoice. The invoice is sent by email within 02 hours after all valid information is received.

3. Information customers should prepare

The Dropfoods invoice request form includes the following fields — customers should review the details carefully before submitting so the invoice is issued correctly and delivered to the right recipient:

  • Company or customer name — the entity or individual receiving the invoice.
  • Tax code — required for invoices issued to businesses.
  • Address — the address shown on the invoice.
  • Invoice email — the e-invoice will be delivered to this address.
  • Buyer name — the person who made the purchase, if it needs to appear on the invoice.
  • Citizen ID — used for invoices issued to individuals, where needed.
  • Phone number — so Dropfoods can reach the customer if verification is needed.
  • Bank name and account number — if payment details need to appear on the invoice.

If details are missing or invalid, processing may take longer because Dropfoods needs to verify the request before invoice issuance. The 02-hour window starts when all required and valid information has been received.
